Transport Lead (one per venue)

Position Title: Transport Lead (one per venue)
Reports To: Transport Chair
Term: January 2020 to September 2021

The Transport Lead is responsible for overall planning and operations of activities related to participant transportation at the designated venue for test events and Games-time. For example, the Transport Lead for Welland International Flatwater Centre (where Niagara 2021 is hosting competition for triathlon, canoe/kayak, open water swimming and platform diving) is responsible for planning parking, loading zone, bus and shuttle schedules at that venue. During Games-time the Transport Lead leads the team that manages traffic, parking and loading/unloading of buses, responding to schedule changes when necessary.

The Transport Lead is a part of two groups: the Transportation Committee, made up of Transport representatives from each venue, and a Venue Team. Every Venue Team is made up of volunteers that represent aspects of the Canada Summer Games (e.g. Sport, Transportation, Technology, Volunteer Services, Medical, Accessibility, Merchandise/Ticketing etc.). Lead by the Venue Team Lead, the Venue Team is responsible for the overall planning, coordination and operations of their venue during any test events and during the Niagara 2021 Canada Summer Games.

The Transport Lead plans and operates transport on their designated venue, coordinating operations for the Athlete Bus System, Officials Shuttle System, Media Shuttle System (where applicable), Park and Ride Systems (where applicable), as well as dedicated VIP and motor pool transportation. The Transport Lead is also responsible for all parking issues at the venue and delivery of a traffic management plan with the integration of limos, taxis, etc. The overall planning and delivery of transportation services will be handled at the central transportation headquarters.

Duties & Responsibilities:

Phase I – Initial Planning (20 months out)

  • Participate in two monthly meetings: Venue Team Meeting and Transportation Committee Meeting

  • Work with Transportation Functional Area, facility owner, Venue Team Lead, and any relevant Team Leads in the preparation of a site plan for all vehicle access, staging and parking, as well as the transport of materials pick ups and drop offs

Phase II – Integrated Planning (1 year out)

  • Participate in two monthly meetings: Venue Team Meeting and Transportation Committee Meeting

  • Oversight of transportation schedule as it affects the designated venue

  • Collaborate with Venue Team Lead and Medical Lead regarding ambulance access route and parking

Phase III – Implementation and Games Operations (4 months out to end of Games)

  • Participate in two monthly meetings: Venue Team Meeting and Transportation Committee Meeting

  • Ensure athlete arrival and departure times are captured and accurate on the venue’s Daily Run Sheet

  • Responsible for job-specific training, scheduling and supervision of Games Time Transportation volunteers at respective venue. May assist in the venue-specific training for all volunteers at respective venue

  • Work with Logistics and Food and Beverage to determine delivery times and locations required for the designated venue

  • During the Games, respond to inquiries regarding transportation services, maintain communication with motor pool and bus dispatch, arrange trips (if necessary), and supervise loading/unloading

  • Ensure clear access, designated parking areas, and smooth traffic flow for all vehicles at all times

Time Commitment:

  • Ability to attend two meetings per month, with increasing frequency as we approach Games-time

  • Availability during test events at respective venue as applicable

  • Participation in Games-wide Forward Planning sessions (total of five days over 18 months)

  • During the Games, venues can operate long hours- sometimes up to 14 to 16 hours a day for the entire duration of the sport competition schedule. Availability during Games is required, including 1-2 days prior to sport competition starting for venue set-up
